Workloop Co-Working (Workloop) provides work space to rent with guests seeking to rent such accommodations (collectively, the “Services”), which Services are accessible at www.workloop.in and as an application for mobile devices (the “Application”). This privacy policy applies to anyone who interacts with us in relation to our products and services (“you”, “your”), via any channel (e.g. app, website, email, phone, walk-ins or via a third party etc.). Depending on where and how you interact with us (e.g. by using our app or by walking into one of our workspace centres/hub (“workspace”) or using workspaces via a third party agency), we collect and process your information. This Privacy Policy describes how Workloop collects and uses the personal information you provide on our web site www.workloop.in and mobile software. By using the Site and Application, you agree to comply with and be legally bound by the terms and conditions of these Terms of Service ("Terms"). These Terms govern your access to and use of the Site, Application and Services and all Collective Content, and your participation in the Program , and constitute a binding legal agreement between you and Workloop. This privacy notice applies to entities who enquire about, purchase or make use of our products and services, such as when a user signs up with us, requests on-demand services, contacts customer support, or otherwise communicates or interacts with us. It describes how we handle your information, regardless of the way you contact us (e.g. app, website, email, phone, walk-ins etc.). Sometimes we will provide you with additional information or notices, depending on the way we interact with each other, e.g. if you use particular functionality on our app, we may explain how that functionality uses your information.

We obtain personal information from you through your interactions with us, including by telephone (please note that we record or monitor our calls for compliance and quality assurance purposes), by email, via our websites, via our apps, via post, via, social media or face to face. We also obtain your personal information from third parties such as the agencies through which you book workspaces and service providers who work with us in relation to our product or service.

Categories of information we collect Personal and Sensitive Information: Personal Information means and includes all information that can be linked to a specific individual or to identify any individual, such as name, address, mailing address, telephone number(s), whats-app contact number, e – mail address, information about the bookings, and any and all details that may be requested while any customers visits or uses the website or any other service at Workspace. Where you have consented to Workloop’s use of “sensitive” Personal Information, which is used to uniquely identify you within the meaning of Information Technology (Reasonable security practices and procedures and sensitive personal data or information) Rules, 2011) (“Sensitive Personal Information”), you are able to withdraw that consent at any time. Prior to disclosing Sensitive Personal Information to a third party or Processing Sensitive Data for a purpose other than its original purpose or the purpose authorized subsequently by the Data Subject, Workloop will endeavor to obtain your explicit consent (opt-in). Where your consent for the Processing of Personal Information is otherwise required by law or contract, Workloop will comply with the law or contract.

Location Information: We may derive your approximate location from your IP address so that we show you more relevant content (e.g. workspaces near you). You can choose to allow our app to access location services so that we can suggest nearby workspaces. This will mean that we collect the precise location of your device when the app/website is running both in the foreground and the background.

Transaction Information: We collect transaction details related to your use of our services, e.g. type of service requested, date and time the service was provided, amount charged, and other related transaction details. If someone else uses a Workloop referral code you have given them, Workloop may associate that other person with you to ensure that you receive the benefit of having made that referral.

Account History: We collect details of your bookings and of contact we have had with you, such as complaints or incidents.

Usage and Preference Information: We collect information about how you interact with our website, app or other Services, including IP addresses, search terms and parameters and device information (you’ll find more information about this in our Cookie Statement)

Log Information: We collect server logs, which may include information like device IP address, access dates and times, app features or pages viewed, app crashes and other system activity, type of browser, and the third-party site or service you were using before interacting with our Services.

Device Information: We collect information about your mobile device, including, for example, the hardware model, operating system and version, software and file names and versions, preferred language, advertising identifiers, device motion information, and mobile network information to help us understand how our website/app is performing across a range of devices and to help us identify the cause of “crashes” and potential performance improvements.

Call and SMS Data: We make it easier for you to contact centre managers. In connection with this, we receive call data, including the date and time of the call or SMS message, the parties’ phone numbers, and the content of the SMS message.

CCTV: We may also collect your personal information if you access our premises and we use CCTV to monitor those premises.

WiFi: on your use of WiFi offered at our workspaces, we will collect login information (which may include your email) and usage information that tells us how you use the WiFi.

Miscellaneous: When you enter the Site, we collect your browser type and IP address. This information is gathered for all Workloop visitors. In addition, we store certain information from your browser using "cookies." The Website uses cookie and tracking technology depending on the features offered. Other From time to time we may add or enhance services available on the Website. To the extent these services are provided, and used by you, we will use the information you provide to facilitate the service requested. For example, if you email us with a question, we will use your email address, name, nature of the question, etc. to respond to your question. We may also store such information to assist us in making the Website the better and easier to use. Through the registration process you may provide us with your name, company affiliation, email address, telephone number, physical address, and other information that may be requested during the registration process on the Site. If you wish to create an account that requires payment of a fee, or use services offered via the Site that require payment of a fee, a valid credit card number or other payment information may be required. We store this information and registration information so that we can provide you the service and offer personalized features. We are not responsible for circumvention of any privacy settings or security measures contained on the Site. You understand and acknowledge that, even after removal, copies of User Content may remain viewable in cached and archived pages or if other Users have copied or stored your User Content. If you use the Mobile Software, your location may be tracked on the mobile device on which the Mobile Software is installed. Workloop will not collect, transmit or otherwise use this information without your permission. We use location data to provide you relevant search results for spaces in your area. When you download and use our Mobile Software, we automatically collect information on the type of device you use, operating system version, and the device identifier. In general, you can browse the Website without telling us who you are or revealing any personal information about yourself. Once you give us your personal information, you are not anonymous to us. Where possible, we indicate which fields are required and which fields are optional. You always have the option to not provide information by choosing not to use a particular service or feature on the Website. We may automatically track certain information about you based upon your behaviour on our Website. We use this information to do internal research on our users' demographics, interests, and behaviour to better understand, protect and serve our users. This information is compiled and analysed on an aggregated basis. This information may include the URL that you just came from (whether this URL is on our Website or not), which URL you next go to (whether this URL is on our Website or not), your computer browser information, and your IP address. If you use the Mobile Software, your location may be tracked on the mobile device on which the Mobile Software is installed. Workloop will not collect, transmit or otherwise use this information without your permission. We use location data to provide you relevant search results for spaces in your area. As a Member, you can control when Venue Owners or other Members can see your location through your privacy settings. To opt out of location tracking, please change your settings at the device level. When you download and use our Mobile Software, we automatically collect information on the type of device you use, operating system version, and the device identifier. Use of Information Obtained by Workloop Once you register with Workloop, you may create your Profile. Your Profile information, as well as your contact information, are displayed to other Users. We may occasionally use your contact information to send you notifications regarding new services offered by Workloop and its partners that we think you may find valuable. Workloop may also send you service-related announcements from time to time through the general operation of the Service. Generally, you may opt out of such emails by following the unsubscribe option included in email, although Workloop reserves the right to send you notices about your account even if you opt out of all voluntary email notifications. Profile information and your reservation activity is used by Workloop primarily to be presented back to and edited by you when you access the Service. In some cases, other Users may be able to supplement your Profile or contribute information about your Venue (if you are a Venue Owner), including by submitting comments and reviews. You consent to Workloop making such information available to other Users and the public. You may change the privacy settings of your profile through your account portal. Information from your Profile may be available to our third party service provider for search engines. This is primarily so that potential users may be able to find you. We process your personal information for a number of legitimate interests, including, but not limited to, providing you with services, administering our relationship with you, for marketing and service/product improvement purposes and in order to exercise our rights or handle claims. We process your personal information for the following legitimate interests (taking into account your interests, rights and freedoms): To provide and administer our products and services in respect of your using e.g. provide products and services requested, send service communications (including updates about your workspaces arrangements), facilitate payments, send receipts and provide customer support; To ensure that you can interact with us securely, e.g. we authenticate users; To improve our services and develop new features for the app, website and offering, including to troubleshoot software bugs and operational problems; to conduct data analysis, testing, and research; and to monitor and analyse usage and activity trends; To send you marketing communication that we think will be of interest to you (including information about products, services, promotions, news, and events) and to personalise your experience of us, including to identify your preferences, provide or recommend features, content, social connections, referrals, and advertisements. Public Information consists of information that is posted by you on areas of the Site accessible by other Users and/or the public, such as Venue descriptions. Public information does not include information you submit to us but do not post on areas of the Site accessible by other Users and/or the public, such as billing and payment information ("Non-Public Information"). We share your Non-Public Information with third parties only in limited circumstances where we believe such sharing is reasonably necessary to offer the Service, legally required or, permitted by you. Where we utilize third parties for the processing of any of your Non-Public Information, we implement reasonable contractual protections limiting the use of that Non-Public Information to the provision of services to Workloop. In addition to the circumstances described above , Workloop may disclose the website member information if required to do so by the law, court order, as requested by other government or law enforcement authority, or in the good faith belief that disclosure is otherwise necessary or advisable including, without limitation, to protect the rights or properties of Workloop or any or all of its affiliates, associates, employees, directors or officers or when we have reason to believe that disclosing the information is necessary to identify, contact or bring legal action against someone who may be causing interference with our rights or properties, whether intentionally or otherwise, or when anyone else could be harmed by such activities. Single Sign-on You can log in to our site using sign-in services such as an Open ID provider. Services like Linked In Open ID provider give you the option to post information about your activities on this web site to your profile page to share with others within your network.
